Commitment To Buy System

The purpose of this multi-platform Commitment To Buy System (iPad application and web-based administration interface) is to automate complex bonus calculation processes and fully digitalise the related administration. The solution significantly reduces manual tasks, speeds up administration and makes the entire process transparent.

Recorded commitments appear on the administration interface in real time, allowing the sales team to continuously monitor committed and actual sales volumes as well as currently available stock levels.

Key features

  • Fully digitalised contracting process
  • Automatic discount and bonus calculation
  • Management of complex product category and rule systems
  • Digital signature support on tablet devices
  • Reports and statistics required for settlements
  • Generation of PDF documents and automatic delivery to partners
  • Built-in e-mail notification system
  • Real-time reports
  • Multi-platform operation (iPad + web)

Benefits of the system

  • Significantly reduced administration
  • Prevention of errors in manual discount and bonus calculations
  • Letters of intent can be created for existing partners without an in-person visit
  • Traceable full lifecycle, including several years of historical data
  • Significantly lower resource requirements compared with the paper-based process (fewer field representatives, lower travel costs and less additional administration caused by errors)

Technical challenges of the project

  • Access control: The system manages seven different permission levels, providing different functions in the iPad application and the web-based administration interface. Access to data and functions can be controlled in detail for each user role.
  • Management of complex product category and rule systems: The discount system supports multiple calculation methods.
  • Concurrent edits: If edits are made at nearly the same time, the later modification remains valid. This makes timestamp handling particularly important so that differences between time zones do not cause problems.
  • Synchronisation after temporary offline operation, also taking concurrent editing into account.
  • Overlapping periods (seasons), requiring parallel handling of individual settlement phases.
  • Multi-step creation, approval and review workflows with associated statuses.
  • Handling large volumes of historical data spanning several years: Day-to-day operation requires large amounts of data to be processed and synchronised while the application must remain fast and responsive.
